How do I link clients in batch from CCH ProSystem fx Tax to Portal?

To link clients from Prosystem fx Tax to ProSystem fx Portal, do the following:

  1. Export a list of client data out of Office Manager.
  2. Configure File Naming Convention in Portal.
  3. Import and match clients from Tax to Portal.
    • Note: To easily link client data, the portal name needs to match the client name in Tax.
      • If it doesn't, then the e-mail address on file in the return needs to match the Portal administrator's e-mail address in Portal.
      • If neither of these is true, the client can still be linked, however it may require additional steps. 

 

Export Client Data from Office Manager:

  1. Open Office Manager.
  2. Click Tools > Export Client List for Portal/CCH Axcess...
  3. Select the Client Type, Office Group, and Preparer if needed, and click OK.
  4. In the Select Clients window,
    • Select the client(s) from the Clients section and add them to the Selected section by clicking Add.
    • Add all clients by clicking Add All.
    • When finished, click Export.
  5. The Save As screen displays. The export file will be saved in My Documents (you can change the location and file name if you choose).
  6. Click Save.

 

Configure the File Naming Convention in Portal (optional):

  1. In Portal, signed in as the firm administrator and click Global Configuration.
  2. Expand Configure Tax File Naming Convention.
  3. If you want Portal to rename any file published to Portal from Tax, check the Tax System type and click New.
    1. Select a Field name option from Field Name and click Add.
    2. Add more fields by repeating the above steps. Click Save when finished.
  4. In the lower part of the screen click Save.
  5. Click OK on the dialog that comes up confirming changes were saved.

 

Import and Match Client Data from Tax into Portal (Stand-Alone version using portal.cchaxcess.com):

  1. Open Portal, and sign in as firm administrator.
  2. Click the Administration tab.
  3. Click Manage Client Links.
  4. In the Select an application field, select ProSystem fx Tax.
  5. Click ... (the browse button). 
  6. Browse to and select the file exported from Office Manager, and click Open.
  7. Click Find Matches.
  8. Review the information on each of the match tabs.
    • Exact Matches - Shows the client data that exactly matches Portal data.
    • Possible Matches - Shows client data that partially matches Portal data.
    • No Match Found and Unmatched Clients - Shows client data that does not match Portal data.
      • On both of these tabs, you can manually enter a portal name for the client.

 

Import and Match Client Data from Tax into Portal (Integrated version using CCH Axcess):

  1. Open Dashboard, and sign in as firm administrator.
  2. Click Configuration.
  3. Under Portal, select Settings and Defaults.
  4. On the left-hand side, select Manage Client Links.
  5. In the upper-right corner, click Batch Client Linking.
  6. In the Select an application field, select ProSystem fx Tax.
  7. Click Import Client Linking Template.
  8. Browse to and select the file exported from Office Manager.
  9. Select an option from the list to indicate which Tax fields should be used to match clients with their corresponding portals.
  10. Select a Tax client in the left grid, select the matching Portal client in the right grid, and then click Link Client.
    • Repeat this step until all clients are linked.
  11. Click OK > OK.
