How do I process in or newbin a return into CCH® ProSystem fx® Tax?
In this video, we show the process of processing returns files for use with CCH ProSystem fx Tax.
If you have CCH® ProSystem fx® Tax return files from a backup or from another source, you can use these steps to process or import the return files into the program.
- Save the *.uYT (where Y=last digit of year and T=tax product) to ?:\Wfx32\Commun\Newbin (where ? = the drive that you run Tax from).
- Verify that the *.uYT file size is larger than 2kb. If it is 2kb or smaller in file size, this may be a unusable return file. Therefore, this return file may need to be restored from a tape backup or utilize the *.bYT, or the backup return file.
- See our article for details on How do I turn on the backup return or .b file feature in CCH® ProSystem fx® Tax?.
- The location for return files is ?:\Wfx32\Client. This may not be the location of the return files on the backup tape and is dependent on your backup software's settings.
- Verify that the *.uYT file size is larger than 2kb. If it is 2kb or smaller in file size, this may be a unusable return file. Therefore, this return file may need to be restored from a tape backup or utilize the *.bYT, or the backup return file.
- Open Communications and click Process in the upper left corner.
- Note: If Communications is already open, close and reopen it. Communications checks for files in ?:\wfx32\commun\newbin only when first opened.
- In the Processing Return window, make sure an Office Group is selected and click OK.
- Use this dialog box to assign a new client ID to a return that has the same client ID as one already on your system or to assign a client ID to a return that does not have one. You can also change the office group, preparer, or version number.
- Errors and warnings. Defines the problem encountered with the return. For example, the return already exists on your system, the client ID is blank or invalid, the Social Security Number differs from that of the return currently on the system, etc.
- Options. Defines what you can do to correct the problem.
- Selected. This box displays information about the return to be transferred into Tax.
- Client ID. Displays the client ID of the return to be transferred into Tax. The display will be blank if no client ID exists. You can assign a new ID or change a duplicate ID by entering 1-to-12 alphanumeric characters.
- Client Name. Displays the client name and cannot be changed.
- The selected client name must match the existing client name.
- SS#/Emp ID. Displays the social security number or employer ID of the return to be transferred. This cannot be changed.
- The selected SS#/Emp ID must match the existing SS#/Emp ID.
- Client type. Displays the return type Individual, Partnership, Corporation, or Fiduciary.
- See our article for more information on client types and their associated tax products and return types.
- If no client type appears you do not have the tax product installed for the year that you are trying to process a return in for or the return file is corrupt.
- Office group. Displays the office group to which the selected return has been assigned. This can be changed.
- Preparer Code. Displays the preparer to whom the selected return has been assigned. This can be changed.
- Return version. Choose New to create a new, sequentially numbered version of the return, or use the drop-down list to select a version of the return to be overwritten with the return you are transferring.
- Existing Wfx client data. Displays information about the existing return in Tax that has the same client ID as the one you want to transfer.
- Skip return. Select to abort the transfer.
- Use this dialog box to assign a new client ID to a return that has the same client ID as one already on your system or to assign a client ID to a return that does not have one. You can also change the office group, preparer, or version number.
- When this process is finished you typically get a Batch Log window that will appear.
- When all the .uYT files have been processed in, the Process menu option will be grayed out.
Notes
- When processing a Fiduciary (1041) return, process the current year .u file in first. Then open the return, save it, and close it. This will update the client profile with the return's information. Then you can process the rest of the returns in for the prior years.
- If you need to restore a return file from your nightly network backup, this article explains where to find the return files (.u files) to restore.
- Once you restore the return files to ?:\Wfx32\Commun\Newbin, use the steps above to process the return file/s into CCH ProSystem fx Tax.
