How do I roll Projects to the new year in ProSystem fx Practice Management?

To roll a single project or a group of projects to a new year:

  1. Within Project Management, go to Roll Projects to New Year (located on the left side of the window).
  2. Choose all the project(s) you would like to roll over.
    • Select the Project Options tab and Detail Position Options tab (if you select to create projects with project budgets and detail positions).
    • Select the appropriate option (see below).
  3. Click Continue to roll the selected project(s) to the new year.

A message displays telling you, "If the projects exist in the new year, click the option you would like below." If you select Print Exception List, the list will print. If you select Override Existing Projects, the existing project will be replaced by the project that you are rolling.

 

Project Options (Tab)
Use the Project Options tab to create projects for the new year based on projects in the current year.  

  • Level of Detail Option. Select one of these options for the level of detail in the new budget:
    • Create projects with zero budgets and no detail.
      • Click this button to create projects with zero budgets and no detail.
    • Create projects with project budgets and no detail.
      • Click this button to create projects with project budgets and no detail.
      • If you select this button, you can select to change the budget dollar amount by a user-defined percentage.
    • Change budget dollar amount.
      • If you select to create budgets without detail, select this check box to change the budget dollar amount.
    • By percent entered.
      • Enter the percentage by which you wish to change the budget dollar amount for the new year.
    • Create projects with project budgets and detail positions.
      • Click this button to create projects with project budgets and detail positions. The Detail Position Options tab will be enabled.
  • Budget Source Option. Select one of these options to determine the source of the project’s budget:
    • Create budget for new year from current year budget.
      •  Click this button to create a budget for the new year from the current year budget.
    • Create budget for new year from current year actual (WIP associated with the project).
      • Click this button to create a budget for the new year from the current year actual amounts (WIP associated with the project).
      • If you select this option (and have selected detail positions), additional options are available on the Detail Position Options tab.
  • Set Project Start/Target Date Option. Select one of these options to determine how to set the project Start/Target Date:
    • Based on default for Project Type.
      • Click this button to base the dates on the default for the Project Type.
    • Based on current year project dates.
      • Click this button to base the dates on current year project dates.
      • Note: If the project was extended, dates will recalculate based on the Project Type.
  • Set Project Description Option. Select one of these options to set up the description for the new project:
    • Roll the project description from the current year to the new year.
      • Click this button to roll the project description from the current year to the new year.
    • Clear the project description in the new year project.
      • Click this button to clear the project description in the new year’s project.
    • Change the project description in the new year.
      • Click this button to change the project description in the new year’s project.
    • Enter project description.
      • If you select to change the project description, this box is enabled.
      • Enter the project description to use for the new year.
  • Notes Option:
    • Clear the project note in the new year.
      • Enable this check box to clear note for the selected projects when rolling projects to the new year.
      • If your firm uses the Auto Roll feature, the option to clear the notes from a project can be configured for each project type within the Project Type Setup.

 

Detail Position Options (Tab)
Use the Detail Position Options tabs to select the options for detail positions on the new year’s projects. This tab is only enabled if "Create projects with project budgets and detail positions" is selected on the Project Options tab.  

  • Detail Position - Options. Select to either create new year detail positions without daily schedules or create new year detail positions with daily schedules:
    • Create new year detail positions without daily schedules.
      • If you select the option to create new year detail positions without daily schedules, select one of these options to set up the detail position Start/Target Dates.
    • Based on new year project dates.
      • Click this button to base the Start/Target Dates on the new year project dates.
    • Based on Current Year project detail positions.
      • Click this button to base the Start/Target Dates on the current year project detail positions.
    • Based on Current Year Actual Start/End.
      • This option is only available if you have selected "Create budget for new year from current year actual (WIP associated with the project)" on the Project Options tab.
      • Click this button to base the Start/Target Dates on current year actual Start/End Dates.
    • Create new year detail positions with daily schedules.
      • This option is available only if "Create budgets for new year from current year budget" is selected on the Project Options tab.
      • If you select the option to create new year detail positions with daily schedules, select one of these options to set up the detail position Start/Target Dates.
        • Note: Only projects with schedules in the current year will have schedules created in the new year.
    • Keep schedule based on same day of week in New Year.
      • Click this button to keep the schedule based on the same day of the week in the new year.
      • If this option is selected, the Start/Target Dates will be adjusted to be on the same day of the week in the new year.
    • Keep schedule on same date in New Year.
      • -  Click this button to keep the schedule based on the same date in the new year.
  • Detail Position. Choose any of these options to roll to the new year.
    • Position - Select this check box to roll project positions to the new year.
    • Employee - Select this check box to roll employees to the new year.
    • Skill - Select this check box to roll skill levels to the new year.
    • Team - Select this check box to roll teams to the new year.
    • Service Code - Select this check box to roll the budget at the category, subcategory, or detail (service code) level. Then select the level of detail below.
  • Roll SC Level options. These options are only available if you have selected 'Create budget for new year from current year actual (WIP associated with the project)' on the Project Options tab.
    • Category - Click this button to create the budget at the category level.
    • Subcategory - Click this button to create the budget at the subcategory level.
    • Detail - Click this button to create the budget at the detail level.
    • Hours - Select this check box to roll project hours to the new year.
    • Amount - Select this check box to roll project amounts to the new year.
    • Change Hourly Rate - Select this check box to change the hourly rate. The Rate Options are enabled.
    • By percent - Click this button to change the hourly rate by percent.
    • Percent - If you select to change by percent, enter the percentage.
    • To current employee rate - Click this button to change the hourly rate to the current employee rate.
    • Employee rate - If you select to change by employee rate, enter the billing rate to use. To correct rate based on service code and project type.
      • If you select Change Hourly Rate, click this button to change rates to the applicable service code rate based on the service code and project type.
    • Change Expenses - Select this check box to change the expense amounts. The Rate Options are enabled.
    • Rate option - By percent entered - Click this button to change the expense amount by percent.
    • Percent - Enter the percentage for the expense amount change here.
