How do I create, assign, and export mailing lists containing client and client contact names and addresses in CCH Axcess™?
Mailing lists categorize the types of correspondence your firm sends to customers. Clients and contacts can be assigned to mailing lists to help manage who receives marketing and other mass mailings from your firm. The system default mailing lists are Holiday cards and Newsletter; however, your firm can add custom lists.
This article explains how to work with mailing lists from Client Groups (creating mailing lists and assigning multiple clients or contacts) and from the client or contact profile (assigning a single client or contact).

- Your firm must have a Practice license to use mailing lists.
- The following functional rights are required for using mailing lists from Client Groups:
- Practice > Client Manager > Mailing lists > Edit
- Administration Manager > Client Manager > Client group profile > View
Creating Mailing Lists and Assigning to Multiple Clients or Contacts
Create mailing lists and assign multiple clients or contacts to a mailing list from the Client Groups area of Client Manager. You can also export the names, email addresses, and physical addresses associated with a mailing list.To create or edit a mailing list, do the following:
- Open Dashboard.
- On the navigation panel, click Application Links.
- Click Client Manager under Clients
- Click the Client Groups navigation bar in the bottom-left corner, then click Mailing Lists.
- Do one of the following:
- Add a mailing list. Click New Mailing List.
- Edit a mailing list. Click in any mailing list row.
- Do the following, as needed:
- Enter a unique name.
- Add recipients for the mailing list.
- Select to add Clients or Client contacts.
- Select a criteria type. The criteria you may select are Contact category (for contacts only), Business Unit, Client Class, Client office, Client responsible staff, Client status, Client Tax type, and Client type.
- Select the criteria value that clients or client contacts must meet to be assigned to the mailing list. For example, if you selected Client type, select a specific type, such as Individual or Partnership.
- Click Add criteria to set multiple values. Keep in mind that clients or client contacts must meet all criteria.
- Click Add Recipients. The following display in the Recipients pane:
- All clients or contacts that meet all your criteria. By default, all clients or contacts that you added to the list will be assigned to the mailing list when you save.
- All clients and contacts that were previously added. Clients and contacts who were manually removed from the mailing list do not display under Sending To. To remove specific clients or contacts, see the next step.
- All clients and contacts that were manually assigned to the mailing list in the client profile.
- After you add recipients, you can add or remove criteria and click Add Recipients again to update the list.
- Notes:
- Add Recipients does not remove clients or contacts already in the Recipients list.
- When you add contacts, all contacts who match the criteria are selected as a recipient, regardless if the clients they are associated with match the criteria. Clients who are associated with those contacts and who do not meet the criteria are not selected as a recipient.

- Click the right arrow to expand any client or contact or click Expand all above the list and manually clear recipients, if needed.
- Click Save.
Exporting Mailing Lists
Export the names, email addresses, and physical addresses associated with a mailing list for import into your bulk email solution or merge in your word processing application. The addresses that are exported are based on what is entered in the client or client contact profile.
- From the Mailing List window in Client Groups, do one of the following:
- Click the export icon in any mailing list row.
- Add or edit a mailing list, save your changes, and then click Export above the Recipients list.
- When the export completes, click Open.
- Accept the default file location and name or select a different location and enter a different name.
- Click Save.

Assigning a Single Client or Contact to a Mailing List
From the client or contact profile, you can assign a client or contact to one or more mailing lists that have been set up for your firm.- Open Dashboard.
- On the navigation panel, click Application Links.
- Click Client Manager under Clients.
- Select the check box to the left of a client in the grid.
- Click Open in the Edit group on the Home tab to display the Client Profile window.
- Do one of the following:
- Assign a Client
- Click Assignments > Mailing Lists on the navigation panel. The default and custom mailing lists that exist for your firm display.
- Select or clear the mailing list associations for the client.
- Click Save to save your changes and close the Mailing Lists window.
- Click Save or Save & Close on the Client Profile window.
- Assign a Contact
- Click Contacts on the navigation pane
- Open a contact.
- Click Mailing Lists on the navigation panel. The default and custom mailing lists that exist for your firm display.
- Select or clear the mailing list associations for the contact.
- Click Save to save your changes and close the Mailing Lists window.
- Click Save & Close when you are done with your changes to the contact.
- Click Save or Save & Close on the Client Profile window.
