How do I create, configure, or delete staff in CCH® ProSystem fx® Tax?
The video below shows how to create a new user for CCH® ProSystem fx® Tax using Office Manager.
- Open Office Manager.
- Log in as a user with Supervisor access.
- Click Configure Staff and select the appropriate button.
- Setup. Select an existing staff name and click Setup to edit the user's settings.
- Add. Click Add to add a new user.
- Delete. Select an existing staff name and click Delete to delete a user.
- If returns or engagements are assigned to the user, they must be reassigned before the user can be deleted.
- After clicking Add or Setup, click the User tab to setup the user's password and user rights.
- User ID. The user's user ID.
- This field is mandatory.
- It has no minimum and a maximum of 15 alpha-numeric characters.
- Special characters cannot be used.
- Once a user is created, the user ID cannot be changed.
- Last Name and First/mid. Name. The user's first and last name.
- These fields are mandatory.
- Used for description information in selection lists.
- Unlock. If the user's user ID is locked, click Unlock to unlock it.
- If the user does not remember their password, enter a new password.
- Password and Verify Password.
- Passwords must be a minimum of eight characters, contain at least one upper case letter, one lower case letter, a number, and a special character.
- The password can be changed.
- Recover Password.
- One of these fields is mandatory.
- Enter either an email address or a mobile phone number for account recovery purposes.
- In the event of an account lockout, the user will have the option to use one of these methods to regain access to their account.
- Access Level. Sets the level of access that the user has.
- Restricted. Can access only the CCH® ProSystem fx® Tax applications they are granted access to.
- Full access. Can access all CCH® ProSystem fx® Tax applications.
- By default, these users cannot delete clients, returns, or tax products unless granted access.
- These users also need to be granted permission to check in or out returns to laptop installs and to create new returns for new clients.
- Supervisor. Can access all applications, all returns secured by user list, and has rights to delete, check returns in and out, and create new returns for new clients.
- You must have at least one user with Supervisor access.
- Program Access, Client data access, Office Manager access, and Tax Preparation functional rights.
- Select the check boxes for the applications or permissions that the user needs to access.
- ProSystem fx Practice Interface. The ProSystem fx Practice Interface check box is only active if CCH® ProSystem fx® Practice or Global Time Entry is installed and the user has access to Tax Preparation.
- User ID. The user's user ID.
- Click the Tax Preparer tab if you want to assign the user a tax preparer ID.
- Information from the Tax Preparer tab flows to the bottom of the return to the Paid Preparer Use Only section.
- Use this option to set up and maintain tax preparer information for the preparers who are permitted to sign in the Paid Preparer's area of the tax return.
- The preparer code, name, Social Security Number or Federal Alternate ID Number (PTIN) entered here can be overridden in the return if needed.
- You can also choose a configured tax preparer as the Default preparer for an office group when configuring the office group's Tax Preparation Signature Block information.
- Click the Resource tab if you use Client Manager or Engagement Plus.
- Use the Resource tab to enter the names and positions of the individuals in your office. This is used to track your staff's Client Manager and Engagement Plus assignments and responsibilities.
- Click OK to save the staff settings.
