How do I migrate or move CCH® ProSystem fx® Scan Administrator to a new computer?
The video below shows how to move or migrate the current release of CCH® ProSystem fx® Scan Administrator to a new computer or server. CCH doesn't provide support assistance for previous versions of CCH® ProSystem fx® Scan.

- We recommend that, if you have jobs currently in the original Queue, you skip the AutoFlow on each job. See our article 000081598 "What does Ready for AutoFlow(0 pages validated) mean in CCH® ProSystem fx® Scan?" for further explanation and steps.
- The existing History of jobs on the original CCH® ProSystem fx® Scan Administrator host can't be transferred to the host, but you can transfer the Archive and Export folders' contents to the new CCH® ProSystem fx® Scan Administrator system, if desired.
- In The original CCH® ProSystem fx® Scan Administrator application, export the settings from the Folder Settings (, General Settings, and AutoFlow Settings tabs by doing the following:
- Click the tab you are exporting settings from.
- In the Export/Import Settings list, select Export Settings.
- Navigate to the location where you want to save the settings.
- You may need the original settings file when you set up the new CCH® ProSystem fx® Scan Administrator computer, so consider saving the settings to a removable drive or network location that will be accessible from the new computer. Settings files have an XML file name extension.
- Enter a unique name for the settings file.
- Click Save.
- On the original CCH® ProSystem fx® Scan Administrator computer, navigate to ?:\CCH ProSystem fx Scan\Permkey (where ? is the drive that CCH® ProSystem fx® Scan Administrator is installed on).
- Copy the entire Permkey folder to the same location where you saved the settings files.
- If you intend to download a new permission key, this step might not be necessary.
- Uninstall CCH® ProSystem fx® Scan Administrator (named "CCH ProSystem fx Scan") from the system using the Windows Control Panel.
- If you want the new CCH® ProSystem fx® Scan Administrator computer to use the same UNC name as the existing original CCH® ProSystem fx® Scan Administrator computer, do the following; otherwise, skip the following two steps.
- Change the name of the existing original CCH® ProSystem fx® Scan Administrator computer, and then restart that computer.
- Change the name of the new CCH® ProSystem fx® Scan Administrator computer to the old name of the original system, then restart it
- Download and install Scan Administrator on the new computer.
- Note: If you copied the Permkey folder from the old CCH® ProSystem fx® Scan Administrator host, select the permkey in that folder when you are prompted to select a permkey during the installation process.
- Only the current year's version of CCH® ProSystem fx® Scan will be available. Older versions are not available.
- After restarting, log in to the new CCH® ProSystem fx® Scan Administrator computer as an administrator.
- In CCH® ProSystem fx® Scan Administrator, import the settings for the Folder Settings (you can further edit them to update the folder paths, etc, if needed) if they differ the installation defaults, as well as General Settings, and AutoFlow Settings tabs that you exported from the old computer.
- Click the tab you are importing settings into.
- In the Export/Import Settings list, select Import Settings.
- Navigate to the location where you saved the settings file for this tab.
- Select the settings file, and then click Open.
- Click Save.
- With anti-virus still disabled, click on the General Settings tab and click Check Now to have the latest catalog updates applied.
- If new updates are detected, you'll be prompted to install them; you should confirm this.
- If new updates are detected and installed, CCH® ProSystem fx® Scan Administrator will close briefly during the installation and then re-appear.
Notes
- If a folder is missing or not shared correctly, a red circle with an exclamation mark displays next to the file path on the Folder Settings tab.
- If the name for the new Scan Administrator computer is different from the name for the old Scan Administrator computer, and your Import, Archive, and Export folders are on the same computer, you must update the hostname in the UNC path.
- Some services might need to be altered. If the Archive, Import or Export folders, are not on the same computer as Scan Administrator, the PDF Export Service and the Folder Monitor Service must use the Domain Administrator log on rights. You can set these in Windows Services.
- If you see a "License Violation" status in the General Settings tab or in the Queue after migration, this indicates the previous installation was not removed and the server was not rebooted before beginning the new installation, or it indicates the presence of another unlicensed installation on the network; by design, the application will suspend normal processing until the firm corrects the additional installations.
