How do I restrict access to files within the Firm entity in CCH Axcess™ or CCH® ProSystem fx® Document?

CCH Axcess™ and CCH® ProSystem fx® Document products use "entities" in a hierarchy of Firm, Offices, Business Units, Staff, Clients, and Non-clients. Each of these entities is assigned a folder template and each of these entities can therefore contain files that the organization deems relevant to that particular entity and type, depending upon the firm's needs. Access to folders and files in these entities can be restricted to certain staff members, and the steps to do so for Firm, Offices and Business Units is the same.

CCH Axcess™

  1. Launch CCH Axcess™ Dashboard > Application Links > Security > Security Groups > New > Security Group.
  2. Enter a name for the new group.
  3. Click Functional rights > Document > Firm.
  4. Select Never Allow for all the rights and click Save.
  5. Click Assigned  staff.
  6. In the Include column, select all the users who are members of this security group (i.e., Included in the group to with Never Allow rights).
  7. Click Save and Close.
  8. Have the each user exit all CCH Axcess™ products, as well as Microsoft Excel, Outlook and Word, and Adobe Acrobat.
  9. When the users log in again, they should be restricted from the Firm entity
  • A user who has been blocked from a right by use of the Never Allow option cannot be granted that right by membership in another Security Group.

CCH® ProSystem fx® Document:
  1. Launch CCH® ProSystem fx® Dashboard > Configuration > Security > Security Groups > New > Security Group.
  2. Enter a name for the new group.
  3. Click Functional rights > Document > Firm.
  4. Select Never Allow for all the rights and click Save.
  5. Click Assigned  staff.
  6. In the Include column, select all the users who are members of this security group (i.e., Included in the group to with Never Allow rights).
  7. Click Save and Close.
  8. Have the each user exit CCH® ProSystem fx® Document and the Dashboard, as well as Microsoft Excel, Outlook and Word, and Adobe Acrobat.
