How do I indicate that the PTIN entered in Office Manager or Tax Preparation is accurate for returns using interview view?

Objectives

To enter and verify the PTIN information entered is accurate for returns in CCH ProSystem fx Tax interview view.
To enter and verify the PTIN information entered in Office Manager is accurate for return in CCH ProSystem fx Tax.

Procedure

The PTIN information can be entered within a return in tax preparation or globally in Office Manager:

In Tax Preparation:

Entered on Interview Form 3 - Preparer Information - [Return to Top]

  1. Go to Federal Interview Form 3 - Preparer Information, Special Handling, Invoice Options and Preparer Notes.
    • In Box 43 - Alternate preparer I.D. number (PTIN), verify the PTIN entered is accurate.
    • In Box 59 - PTIN is accurate and I am the registered owner - (Y),(N), enter Y.
  2. Calculate the return.


Entered on Interview Form EF-2 - ERO Overrides - [Return to Top]

Use the table and steps below to determine the box number of the PTIN and confirmation fields.

  1. Go to Federal Interview Form EF-2.
    • In the PTIN field (see table above), verify the PTIN entered is accurate (if applicable).
    • In the PTIN is accurate and I am the registered owner - (Y),(N) field, enter Y.
  2. Calculate the return.


In Office Manager:

Entered in Office Manager - Configure Staff - [Return to Top]

  1. Open Office Manager.
  2. Click Configure Staff.
  3. On the Configure Staff dialog, select the user to verify the PTIN and click Setup.
  4. Click Tax Preparer (tab).
    • In the Preparer Identification section, verify the PTIN entered is accurate and then select the PTIN is accurate and I am the registered owner checkbox.
  5. Click OK.

In Office Manager - Signature Block - [Return to Top]
  1. Open Office Manager.
  2. Click Configure Applications.
  3. Select Tax Preparation and click Configure.
  4. Select the appropriate office group and click OK.
    • Note: This step is only applicable if there are multiple office groups entered.
  5. Select Signature Block and click Setup.
    • In the Preparer Information section, verify the PTIN entered is accurate and then select the PTIN is accurate and I am the registered owner checkbox.
  6. Click OK.


In Office Manager - Electronic Filing Options - [Return to Top]

Note: Complete these steps if using the Electronic Return Originator (ERO) overrides in Office Manager.
  1. Open Office Manager.
  2. Click Configure Applications.
  3. Select Tax Preparation and click Configure.
  4. Select the appropriate office group and click OK.
    • Note: This step is only applicable if there are multiple office groups entered.
  5. Select Electronic Filing Options and click Setup.
  6. Click ERO (tab).
    • In the Electronic Return Originator (ERO) overrides section, verify the PTIN entered is accurate and then select the PTIN is accurate and I am the registered owner checkbox.
  7. Click OK.

Additional Information

Notes

  • If a user has a PTIN entered and saved in their Office Manager Staff profile:
    • The user will be prompted to review and confirm the accuracy of their PTIN after logging into a CCH® ProSystem fx® application.
      • PTIN Verification dialog
    • Selecting the PTIN is accurate and I am the registered owner checkbox and clicking OK will prevent the Confirm PTIN dialog from displaying for this user on future logins.
    • If the user clicks Cancel or the X to close this dialog and does not confirming their PTIN, they’ll be prompted to confirm their PTIN with subsequent logins.
    • If the user does not have the PTIN saved in the Office Manager Staff profile, the Confirm PTIN dialog will not display when logging in.
  • Prior to being able to electronically file a return, the PTIN must be confirmed.
    • If the PTIN is accurate and I am the registered owner checkbox is not selected, the following diagnostics will issue:
      • Diagnostic: 18834 - "Form [Form #]. The Preparer Tax Identification Number (PTIN) must be confirmed to be accurate by the registered owner prior to electronically filing this return. This confirmation is missing in either RCS/Office Manager or on Interview Form 3, Box 59. The PTIN must be confirmed where it was originally entered in RCS/Office Manager or Tax Preparation."
      • Diagnostic: 60638 - State Electronic Filing. The preparer tax identification number (PTIN) must be confirmed to be accurate by the registered owner prior to electronically filing this return.  This confirmation is missing in either Office Manager, Interview Form 3, Box 59, or Interview Form EF-2, Box 48.  The PTIN must be confirmed where it was originally entered in Office Manager or Tax Preparation.
