Managing Staff Assignments

Staffing assignments play a key role in numerous areas within the application. Staffing assignments allow firms to track client/entity records or tasks based upon the designated role. This allows staffing visibility on projects so firms can view the user responsible for certain roles for the project. The assignments allow firms to track hours, budget, and actual, at the role level and ties into the tracking of the scheduling model. The assignments reduce the number of clicks within the application when the mapping has been programmed, pre-populating the ‘move to whom’ field within the move task option.

Bulk Add/Edit Staffing Assignments

The Manage Staffing Assignment utility allows firms to bulk update client/entity active tasks as well as the client/entity database in one spot. This utility should be used to mass update staffing changes and/or to replace blank fields for client/entity active tasks or client/entity records.    

Within the Manage Staffing Assignment utility firms have the option to search by the Client/Entity Database or by Active Tasks. Add necessary filters, such as find a person to replace, search for blanks in a specific responsible role or by client/entity specific information.



Within the search results, you can choose the clients/entities to be updated at the task level and/or client/entity database level by selecting the client/entity in the check box to the left.   


You can also view the Client Account Number for all clients in the search results. New options allow you to choose the replacement user, ignore the user and replace staff assignment regardless of current name, update both client/entity database and active tasks, and choose the responsibility.
  • If you do NOT select the option to apply to BOTH the client/entity database and active task your update will only change what you had chosen in the search criteria, either client/entity database OR active task.

 

How to replace staffing assignments blank or clear out staff for a specific role on tasks?

 

  • Go to “Manage Staffing Assignments” utility
  • Select the “Active Task” radio button
  • Choose the required “Fiscal Year.”
  • Click on "Search.”
  • Do not choose any staff name in “Replace From” and “Replace With” fields
  • Select the checkbox “Replace Staff Assignment only; ignore “Replace From” search.
  • Select the “Responsibility” role (required role)
  • Select All” checkbox
  • Click on “Apply” button

    This will replace the staffing as Blank if there is a staff associated with the Role on any tasks for the selected Fiscal Year.

Note: The changes can only applied for a Fiscal Year and need to choose the required years one by one to update the change

 

What is the best practice if an employee or staff terminated/ inactivated from our firm? How to manage their task assignments?

 

  • The staffing assignments of the staff should be replaced to some other user who is active.
  • Reassign the tasks that are assigned to the user to an active user

 

* Replace Staffing Assignments

  • Go to “Manage Staffing Assignments” utility
  • Select the “Client/Entity DataBase” radio button
  • Find Person > Click on Choose to select the user/staff
  • Select all Responsibility roles
  • Replace From = Inactive/Terminated user
  • Replace With = Active user
  • Select the checkbox “Apply Change to both Client/Entity Database and Active Tasks”
  • Select all the “Responsibility” roles
  • Select All” checkbox
  • Click on “Apply” button


This will replace the staffing from the inactive user to the active user.

 

* Reassign tasks to active user

  • Go to Advanced Search
  • Choose the Year = All
  • Click on the navigation iconin the “Who Has Task” field to change from Active to Inactive
  • Choose the inactive user
  • Click on Search

This will pull the tasks that are currently assigned to the user, then select them and use the Move Task option to move them to active users in bulk.
Note: 50 tasks can only be moved at once in bulk, and you need to select 50 by 50 to move the remaining tasks.

 

Note:

1. Secondary roles in the Tasks cannot be updated using Manage Staffing Assignment Utility
 

2. Updating the staffing assignment in bulk using the select all check box, the updates will run in the backend and the changes will displayed in the system within a few hours 

Additional Information: 


Add/Edit Staffing Assignments in Client Database (Individual)

Firms can change the staffing assignments within the client/entity database. Please note, this will only reflect in the client/entity database and any future tasks created. Current active tasks will not be affected. Within the Manage Clients/Entities utility, search for your client/entity and click directly on the role icon to access staff information. On the right-hand side under the staff name, change the staffing and save.


Add/Edit Staffing Assignments in Tasks (Individual)

Firms have the option to change the staffing assignments within the active task. Please note, this will only reflect in the active task and any rollover tasks if set to pull from the previous task. Completed tasks and the client/entity database will not be affected. In the Staffing section of the Control Sheet, click on the box beside the Role Names. Select the name of the person to be assigned from the drop-down list and click Save and Save All.
 


Staffing Reports  

Workflow has numerous reports to show the staffing assignments for clients/entities. The best option to review the staffing in the client/entity database or the active tasks would be to use the Manage Staffing Assignments utilities. You can enter filters to narrow down your search. For a full listing at the client/entity database level, select Find & Replace Client/Entity Database option, leave all other fields blank and search. For a full listing at the active task level, select Find & Replace Active Task option, leave all other fields blank and search.  All results can be exported to multiple formats by clicking the report button.
