Procedure

CCH Axcess™ Integration
 
If you are a CCH Axcess Workflow (formerly XCM) firm also using CCH Axcess™ solutions, you can benefit from the following integrations with the CCH Axcess platform.

 
 
  •  CCH Axcess Office Integration 
    •   ​​​​​Offices will automatically link, create, and update with CCH Axcess Workflow Locations.
  • CCH Axcess Staff Integration
    •   Link your users between Axcess Workflow (formerly XCM) and the Axcess platform
      •   This will allow your linked users to login via their CCH Axcess mode of authentication.
      •   Linked users will now have their Workflow data mapped and synced from their CCH Access profile.
      •    If you are a CCH Axcess Tax and Axcess Workflow firm, your linked users will be able to leverage the Tax integration.
  • CCH Axcess Client Integration
    • Link clients between Axcess Workflow (formerly XCM) and the Axcess platform.
    • Mapped data will sync from Axcess to Workflow, so that firms only need to manage a single source for client data.
    • In order to use the Auto-Sync feature of the CCH Axcess Document integration, clients must be linked.
  • CCH Axcess Tax Integration
    • Link and open a CCH Axcess Tax Return from within the Axcess Workflow Task
      • Staff must be linked to use the CCH Axcess Tax integration.
  • CCH Axcess Document Integration
    • Link and open CCH Axcess Document files from within the Axcess Workflow Task.
    • The auto-sync will automatically link documents to tasks for linked clients.
  • CCH Axcess Practice Integration
    • Update actual hours via Time Capture for linked clients.
 

Office Integration 

Offices within CCH Access are compared and linked with the Locations within CCH Axcess Workflow. New offices will be created and updates to the office names will be reflected within the linked Workflow Location.  

*NOTE* If you were previously using the an integration with CCH Axcess, and had multiple offices mapped to a single location, those mappings will still be supported.  If preferring to have the one-to-one office to location integration moving forward, the mappings can be removed for the updates to be picked up moving forward. 


Staff Integration
 
The staff integration provides seamless staff management to save time for both administrators as well as users. 

Firms electing to use the integrations will start with the Staff Integration. The Staff integration is necessary to leverage the Tax and Document integrations.

The Staff Integration has 3 primary features/steps:

 

  1. Linking Users between Axcess Workflow and CCH Axcess platform
  2. Linked users will use their CCH Axcess login method/credentials to login to both systems.
  3. Automatically updating mapped fields between linked users from Axcess platform to Workflow users.  (Including creating new users)


Once staff have been linked, users will be able to login with their CCH Axcess™ credentials to gain access to both systems.  Users are linked automatically via the Integration Dashboard by matching the email address between both systems or through a double-prompt login process.  Licensing for all CCH Axcess™ products will be configured within the CCH Axcess™ Staff profiles, linked users will need to be licensed for the CCH Axcess Workflow product to be authorized to access it.   (Please review the following KB article for more on linking users and FAQ’s.)
 

For staff that have been successfully linked, their profile data can now be managed from a single source, CCH Axcess™ Staff Manager.  Staff created and modified within CCH Axcess™  will be updated within CCH Axcess™ Workflow > Manage Users.
 

The fields that are mapped between the two systems will be disabled within the CCH Axcess™ Workflow user profile for linked users/staff.
 
The following staff profile information will be managed from a single location (CCH Axcess™ Staff Manager):

  • First Name
  • Middle Name / Initial
  • Last Name
  • Suffix
  • Email
  • Staff ID
  • Status
  • Title / Position
  • Department
  • Phone Number
  • Expertise

Client Linking
 
CCH Axcess Workflow can automatically synchronize the client data with the firm’s client management application (CCH Axcess).

CCH Axcess Workflow's Client Integration feature is a flexible method of gathering information from the firm’s client management application. Using this feature you can:

 

  • Import firm clients to create new CCH Axcess Workflow clients
  • Link each firm client with a corresponding CCH Axcess Workflow client
  • Automatically update the CCH Axcess Workflow client data with external database changes.


Linking between Axcess Workflow Clients and Axcess Client Manager is initially based on Account Numbers (ClientID.SubID). 
 
The following client profile information can be managed from a single location (CCH Axcess™ Client Manager):

  • Client Type – Individual or Entity.
  • Office
  • Status
  • Client ID + Sub ID
  • Sort Name
  • Phone Number
  • Email
  • Year End
  • Client Responsible Staff Assignments (Roles)

*NOTE* Client Groups are not currently syncing from CCH Axcess.  Plan to include this in a future release. 

Tax Integration
 
With the CCH Axcess Tax integration linked users can establish a link from the CCH Axcess™ Workflow Task Control Sheet to the CCH Axcess™ Tax Return.  This allows you to:


 

  • Automatically link the task to a CCH Axcess Tax return, when only one version of the return exists.
  • Select which CCH Axcess tax return to link when multiple versions exist.
  • Open the linked CCH Axcess Tax directly from the task (control sheet).


Integrated staff licensed for CCH Axcess™ Tax can link a CCH Axcess™ Tax Return to the CCH Axcess™ Workflow Task.   After the return is linked, a hyperlink of the return ID will appear next to the Manage Tax Returns button that allows the return to be opened directly from the Control Sheet saving you time from having to open up Axcess Tax and navigating to the client.

Single version returns for the task year will automatically link to the return upon initial opening of Manage Returns. If there are multiple versions or additional returns that need to be associated with the task, those will need to be linked manually from the Manage Tax Returns screen.

An on-screen report of all the open Tax Tasks (prior 2 years – current) without an associated return will be available after the integration with CCH Axcess™ has been started.


Document Integration
 
Documents can be manually added to Tasks from the Control Sheet or Document Auto-Sync can be configured to automatically connect new documents to the Control Sheet.  Automatic linking is based on client, year, and the mappings provided between Workflow Category and Task Type to Document Class and Subclass respectively.  Once the documents have been linked to the Task, this will allow you to:

 

  • Open linked documents directly from the Control Sheet.
  • Remove linked documents without the risk of Auto-Sync relinking to the Task.
  •

Note: Document Auto-Sync will not retro link files to Tasks. Only newly added or modified documents will link to Tasks (when the feature is enabled).


Practice (Time) Integration
 
Populates the Task with the actual hours that have been entered into CCH Axcess™ Time Capture.  This provides a better understanding of task completion and allows administrators to schedule the hours appropriately. Time syncs to the tasks 6 times a day (every 4 hours) by default.
