Document Management Integration 
 
The purpose of the CCH Axcess Workflow Solutions application Control Sheet is to coordinate information needed to complete Tasks. Workflow has integrated different options for linking files from your local network or document management systems to track workflow at a higher level, moving a digital folder throughout your office.

The links on the Control Sheet allow you to connect files containing information pertinent to the Task. As the Task moves through the firm’s defined workflow, each Workflow user can follow these links to quickly and efficiently access information needed to complete the Task. An additional linking feature allows firms to reference important web pages to projects for easy access to rules and regulations.

 

Manual Document Configuration 

  • Within Workflow click on the gear  

  • Select ‘Manage Settings and Defaults’    

  • Expand ‘Integration Settings’    

  • Bottom grid is for Document Integration.  Click on the button on the right that looks like [ : ]  

  • Enter the following into the pop-up window:  https://api.cchaxcess.com/sdk;######  (###### = firm Axcess Account number)  

  • Check the box to ‘Apply to all the branches’  

  • Click [Apply]  


Attach Local Network Files 
This is used to attach one or more files and add URL links that contain information relevant to a Task (For example, a government site with the latest regulation).
 
Attach Local (Network) Files allow firms to link files directly from their personal network and from the following document management systems as well:
  • GoFile Room
  • iChannel
  • SharePoint
  • Windows Explorer
  • iManage
  • eFileCabinet
  • Box
  • Dropbox
  • OneDrive
  • Caseware
  • Google Docx
If your firm uses a document management system that is not in the preceding list, contact support for an evaluation of your DMS and XCM integration services.     

The integration allows firms to create a pointer to the file for easy access. When the file has been linked, any user within the application can open the file if connected to the local network or logged into your current document management system.  

Web URL Linking
 
If a firm needs to reference an important web page for a project for rules and/or regulation changes you can do so within both the Attach Local (Network) Files and ProSystems FX Document Files links. 

Files Uploaded/Returned
 
This feature allows firms to upload Tax specific files to the Workflow server for outsourcing to XPITAX. After the Task is processed, XPITAX can link the completed version of the file to the Control Sheet for the firms to download.
 
This Document section of the Control Sheet displays details of files uploaded and returned.

Documents can be uploaded or downloaded in two modes as shown in the following figure.

To upload a file:
  1. Click Upload to open the File(s) Upload/Download page. 
  2. Click Add Files to navigate to Windows Explorer and select one or more files you want to upload as shown. (Use CTRL or Shift key to select multiple files) 
  3. Click Open to view the progress of files selected for upload. 
  4. Click Add Folder to select all files from a specific folder for upload. All the files from that folder will be uploaded. However, files from sub-folders will not be uploaded.
