A. Summary
CCH Axcess Workflow Tasks may be linked with CCH Axcess Tax Returns. When those two are linked you can have the eFile Acceptance or Rejection information updated automatically on the Control Sheet. This eFile integration will apply to Workflow Staff who are Axcess Integrated. The eFile integration will apply to Tasks created from the Default Task Types of 1040, 1041, 1065, 1120, 1120S and 990.
When the Task’s Deliverables have the Filing Method of eFile and they are in one of the eFile statuses, the system will start checking for updates. Once the return is filed the Submission ID from the ELF Status site will populate into the DCN field in the eFile section of the Control Sheet.
Once the return is Accepted or Rejected, either the eFile Accepted On date or eFile Rejected On date will be automatically updated on the Control Sheet and the Task Status will be updated appropriately. These updates should occur in near real-time via webhooks. If any updates are missed, there is a backup sync that runs every 15 minutes.
B. E-File Integration Parameters
1. With the CCH Axcess Workflow 2021-5.0 release, e-file Integration is available to be turned on for all firms, please contact support to turn on the e-file integration for your firm.
2. All locations will be enabled by default; if you wish to not have a location enabled, please contact support, and we can have the integration turned off for any specific locations.
3. In the future, if you add any additional locations to the site, please contact support with the details to turn on the E-File Integration for the newly added locations.
4. E-File integration will look for 30 days back on the first sync
5. Every 15 minutes, the sync process will take place and update the status of Tasks
6. The e-file integration will start running if the following requirements are met:
- CCH Axcess staff must be linked to CCH Axcess Workflow.
- CCH Axcess Tax Returns must be linked to CCH Axcess Workflow Task.

7. Currently, Tasks will only be updated if created from the following Task Types
- 1040 Task Types
- 1041 Task Types
- 1065 Task Types
- 1120 Task Types
- 1120S Task Types
- 990 Task Types
8. Only Standard Deliverables ( NO FSD) with the Filing Methods of eFile will be considered.
9. Only Tasks in the following Statuses will be considered:
- eFile – Awaiting Taxpayer Consent Form
- eFile – To be Transmitted
- eFile – Awaiting Government Acceptance
- eFile – Rejected
- eFile - Accepted Not All Filed
- eFile - Accepted Missing Consent Form
- eFile - Govt Acceptance Move To Completed
C. Features of Integration
1. Any change in the e-file status pertaining to the acceptance and rejection of the Tax return will update the status of the task accordingly.
The statuses in the task that can be updated are:
eFile – Rejected
If any one of the deliverables under the task is Rejected then the task status is moved to eFile – Rejected
eFile – Accepted Not All Filed
If at least one of the deliverables under the task is Accepted and at least one deliverable is still not filed, then the task status is moved to eFile – Accepted Not All Filed
eFile – Govt Acceptance Move To Completed
If all of the deliverables under the task have been Accepted then the task status is moved to eFile – Govt Acceptance Move To Completed
2. Task status updates are captured and shown in the Details section of the Control Sheet
3. The Accepted On/Rejected On dates in the eFile section of the Control Sheet will be filled in automatically and near real-time via web-hooks. The eFiled by column in the eFile section of the Control Sheet currently defaults to the Primary Contact. The eFile By column under the eFile section will reflect the name of the Primary Contact Person for your account updated in our Axcess Workflow records. If you would like to have a different Staff Name reflected in the eFile By column, you can contact support to change it.
Note: In Workflow, if an eFile Accepted On date or eFiled On date is filled in manually or via the eFile Integration, and the Consent Rec’d On date is blank, it will populate the Consent Rec’d On date with the same date that was input in the eFile Accepted on date or eFiled On date. 4. DCN field in eFile section of Control Sheet will now auto-populate with the Submission ID from the ELF Status site.
D. Extensions
Extensions are also included in this eFile integration. Unlike the eFile integration for the Standard Deliverables, the Extension eFile integration does not have to be in a particular status to be eligible for updates.
The Extensions are only considered for eFile integration updates when they are “In Process”. When the Date EXT Filed is manually populated and the Task is Saved and Extended, this is what moves the extension from “Not in Process” to “In Process” and updates the Current Due Date. Once “In Process” we will check for updates and eventually populate the EXT DCN field with the submission ID from the ELF Status site. Then, once the extension is Accepted or Rejected we will automatically populate the new columns for EXT Accepted On or EXT Rejected On dates and the Task Status will be updated accordingly. When the eFile integration is first enabled, it will add three new extension statuses to go along with the existing EXT eFiled Awaiting Consent Form status.
New extension statuses include:
- EXT eFile Rejected,
- EXT eFile Accepted Not All Submitted
- EXT eFile All Accepted Extend Due Dates
