How do I migrate the data from CCH® ProSystem fx® Trial Balance to CCH Axcess™ Financial Prep or CCH Axcess™ Engagement?

Objectives

  • To migrate the data from CCH ProSystem fx Trial Balance to CCH Axcess Financial Prep using new features added with the release of CCH ProSystem fx Trial Balance version 2021.a01.

Procedure

Important Note: If the ProSystem fx Trial Balance company databases are located on a server, you must run this batch export process from the Network Installation of the application on the server.

The following video provides the process to migrate your data from CCH ProSystem fx Trial Balance to CCH Axcess™ Financial Prep.
 

To export the company data from CCH ProSystem fx Trial Balance, do the following:
  1. Open CCH ProSystem fx Trial Balance.
  2. Go to File > Batch Export Companies.
  3. On the Company Data Export dialog, select the appropriate options (for Tax entity and Tax year) and click Run Query.
  4. With the company to be exported showing in the lower pane, click Export.
  5. In the Export for CCH Axcess Financial Prep section, do the following:
    • In Create an Excel File for each company's account balances, select the checkbox.
    • In Prior period balance type, use the drop-down to select the option you desire for the prior period balances for the one prior year that is exported.
      • None, this will not include any prior period balances.
      • Unadjusted, this will include the unadjusted prior period balances.
      • Adjusted, this will include the adjusted prior period balances.
  6. Click Yes to continue.
    • This will create the Excel files that will be used to import the data into CCH Axcess Financial Prep.
    • In order to successfully export the Adjusted Prior Period balances for a company configured with a fiscal year end, the Grids - Years start and end dates will need to be adjusted to a 01/01 start and 12/31 end for the current and prior year(s).
    • The Beginning and Ending Dates for the Calendar year are required to be entered in the Years grid in order to export the correct beginning and ending dates.
    • Only the current annual Unadjusted balance is included in the Excel export file, journal entries are not included.

To import the company data into CCH Axcess Financial Prep or CCH Axcess Engagement, do the following:
  1. Open CCH Axcess Financial Prep or CCH Axcess Engagement.
  2. Click Start New Engagement.
  3. On the New Engagement dialog, fill out the following fields:
    • Client 
    • Engagement Name
    • Tax entity type
    • Year-end date
    • Frequency
    • Period start and end dates 
  4. For Use system-provided financial groups? select No because we are importing from CCH ProSystem fx Trial Balance.
    • This will mean that one core financial group will exist "3000 Equity.“ This is required for the Financial Statement page to be able to correctly post Net Income/Loss.
  5. Click Create.
  6. On the Import Trial Balance dialog, click Microsoft Excel.
  7. Browse to the folder that was created during the export process above, select the appropriate company trial balance file.
  8. Click Open.
    • Note: This will now import the trial balance information for both current and prior year that was selected during the export process.
    • If the import process locks up, refresh the web page. Occasionally, the processing may not send a signal to Axcess Financial Prep/Engagement to indicate it's complete.
  9. During the import process, CCH Axcess Financial Prep will group many accounts using intelligent grouping. Review the trial balance and group any accounts needing grouped to complete the process.
