Procedure
ROLLOVER TASKS
The Rollover utility allows users to manually roll tasks from year to year and includes carry forward options. A site clean-up must be performed on an annual/bi-annual basis to ensure client account and task accuracy.
The following table highlights the actions required to be performed in the specified utilities to ensure that a successful rollover.
ROLLOVER
The Rollover utility provides a global method of creating new tasks by selecting previous year tasks and creating new ones based on their properties.
The Rollover utility allows users to manually roll tasks from year to year and includes carry forward options. A site clean-up must be performed on an annual/bi-annual basis to ensure client account and task accuracy.
The following table highlights the actions required to be performed in the specified utilities to ensure that a successful rollover.
UTILITY | ACTION(S) |
Managing Settings and Defaults | The Manage Settings and Defaults utility allows you to select the default shipping method, current fiscal year for new tasks and task category default. |
Verify/Update Default Task Filing Method | The Manage Task Type utility allows the ability to change default filing method if the filing method at the task level changes from one year to the next. |
Verify/Update Client/Entity Data | The Manage Client/Entity utility allows users to change client/entity settings individually or in bulk. Bulk changes can be made for the primary task type, client/entity type, location, group, status and fiscal year end. |
Verify/Update Group Data | The Manage Group utility allows users to change group settings. This allows your firm to create new groups and disable/edit existing groups. |
Manage Staffing Assignments | The Manage Staffing Assignment utility allows you to modify client/entity records (defaults) or active tasks, finding and/or replacing existing user (or blanks) that hold one of the responsibility roles with another. |
Manage Users | The Manage Users utility will allow your firm to verify/update rights, manage and disable terminated employees. Verify prior to busy season that your users are coded for the correct rights to avoid delay in processing. Be sure to disable any inactive users at time of termination. |
Delete Tasks & Purge Data | The Delete Task & Purge Data utility allows you to delete tasks in their entirety and purge selected data within selected tasks. Updating this data will ensure tasks from the previous year that are no longer current will not be rolled forward. Also purge specific data within the application to make sure the information is not carried forward. |
ROLLOVER
The Rollover utility provides a global method of creating new tasks by selecting previous year tasks and creating new ones based on their properties.
- As in other utilities, you first search for tasks by entering or selecting criteria.
- You also have a quick search button that displays tasks for clients in the selected location which have not been rolled over for the year selected.
- Within your search, select tasks checkboxes located to the left of the client/entity name or choose the Select All button.
- Click Rollover Task.
- The Rollover window will appear with rollover options.
- Choose your rollover options, click Apply.
- CCH Axcess Workflow will create the tasks in the background.
- For the status of your request, access the Bulk Operations Status utility for the rollover log which will indicate what tasks rolled successfully, what failed and why.
