Manage Recurring Tasks Utility
The Manage Recurring Tasks utility allows users to automate the creation of tasks according to a user defined schedule and includes carry forward options. Recurring patterns are recommended for projects not on an annual schedule. (See Auto Rollover for Annual projects). This allows the firm to set a schedule at the task level, CCH Axcess Workflow will then create the projects daily, weekly, monthly or quarterly as set by the firm. Recurring patterns allow firms to choose the time for the project to create, (as opposed to when the previous project is completed set with the Auto Rollover).Task Type/Deliverable Setup
The initial task needs to be established in CCH Axcess Workflow in order to automate the recurrence patterns. Your firm may need to create Firm Specific Task Types and/or Firm Specific Deliverables for the creation of the initial task. Creating your Firm Specific Task Type and Firm Specific Deliverable is a one- time setup.Task Type Setup
- Click Setup Utilities>Manage Task Types to display the Manage Task Type (System Wide*) window.
- To add a custom Task Type, enter a 1 to 7 character Task Code and a Task Description.
- Make sure that the appropriate Category is selected in the Task Category drop-down and the filing type is selected from the Task Filing Method Default drop-down.
- Click Add.
To modify the Category for a custom Task Type > highlight it > change the Category in the Task Category drop-down > click Update.
To disable or enable a firm-specific Task Type > select the box to the left of the description to enable > uncheck to disable. The Task Types that are enabled (checked) will be displayed in the Task Type drop-down lists.
You can modify the Task Category and Task Filing Method Default for listed Task Types by following the directions on the screen. You can disable a Task Type to prevent its future use. There are default Task Types which cannot be deleted, signified by a grayed out check box.
Firm Specific Deliverables can be administered through Setup Utility>Create Deliverables. Click Add New Deliverable, select the task type for the deliverable. Then choose a name and form number for the deliverable.
- There are reserved letter combinations for statutory filings and you may see an error message when you save the deliverable if there is a conflict.
Choose the Original Due Date method from the four options.
Enter applicable Extension dates, save by clicking Save/Add New Deliverable or Save/Close.
Create Initial Task
The initial task needs to be established in CCH Axcess Workflow in order to automate the recurrence patterns. Your initial task will be linked to the recurring task programming allowing for the pattern to occur.Create Task
The Create New Tasks utility will allow you to create one task or create tasks in bulk.Within the utility, modify your filter criteria appropriately and select your client(s). Click Create Task.
Add Deliverable
The Add/Delete Task Deliverables utility under Task Utilities allows you to add multiple deliverables to multiple tasks at a time.- This utility is for tasks within the No Info In Status alone. For tasks in the workflow, you must enter the deliverable tab of the individual task to add.
Create Recurrence Pattern
When you have your initial task created, and deliverables added, you can now create your Recurrence pattern.Additional Information
